Job Description

In charge of managing/controlling lobby and front desk areas of Milwaukee factory at Saigon High Tech Park, District 9, HCMC

Under Factory Operations Management Department
Location: Milwaukee factory in Saigon High Tech Park
Working time: 7:30AM – 4:00PM | From Monday to Saturday

ASSISTANT:
- Manage calendars, schedule meetings, and arrange appointments.
- Organize travel arrangements including flights, accommodation, and itineraries.
- Prepare, update, and organize documents, reports, and presentations.
- Claim expense, reimbursement.
- Handle factory rental contract.
OPERATIONAL SUPPORT:
- Assist in planning and coordinating events, meetings, or team activities.
- Support daily office operations (supplies, logistics, document filing).
- Follow up on assigned tasks, deadlines, and action items.
- Maintain and update databases, records, and reports.
VISITOR ARRANGEMENT:
- Serve visitors by greeting, welcoming, and directing them appropriately.
- Notify relevant employees/departments when visitors arrive.
- Cooperate with security team to comply with the process of factory entry registration for visitors. Follow security procedures, such as monitoring the logbook and issuing visitor badges by using visitor controlling systems to grant access for visitor cards.
- Control access door cards.
- Keep an eye on security and telecommunications systems of lobby and office
- Answer visitors’ questions, calls, and emails, and provide them with the relevant information
- Support controlling and maintaining locker area for visitors
- Sign for deliveries and ensure all mails and packages delivered to company
- Other tasks as appointed by department manager.

Job Requirement

- College and above: Major in Business Administration, English, Chinese or other related subjects.

- Minimum 3 years in similar position.

- Be able to comfortably use English, Chinese is a plus; English: Verbal communication + Written

- Proficiency in MS Office (MS Excel, MS Word and MS PowerPoint, Outlook)

- Excellent time management skill, have ability to prioritize work

- Strong organizational skills especially multi-tasking

- Attention to details and problem-solving skills

- Helpful and friendly demeanor

- Ability to stay calm under pressure
