Job Description

Overview:

The Warehouse Process and System Manager is responsible for overseeing the operational efficiency and system integrity of warehouse processes and monitoring the quality performance of the organization. This role involves optimizing workflow, documenting processes, leading and facilitating and evaluating training, ensuring compliance with safety and quality standards, and implementing effective inventory management systems which may involve the use of technology with the aim of automating the process resulting in significant reduction of inefficiencies in the warehouse. The Warehouse Process and System Manager will collaborate with internal and external partners in streamlining upstream and downstream processes that will enhance productivity, reduce costs and errors, and maintain a high level of service to internal and external customers. Key Responsibilities:

1/ Process Optimization:

  • Analyze current warehouse processes and workflows to identify areas for improvement.
  • Develop and implement standardized operating procedures (SOPs) to enhance efficiency and productivity.
  • Utilize Lean and Six Sigma methodologies to drive process improvement initiatives

2/Training and process development:

  • Develop a training plan, delivering training to the warehouse organization, evaluating the training and conducting audit to assess effectivity of the training provided.
  • Document all processes in the warehouse and implement controls to error-proof the warehousing processes.

3/System Management:

  • Oversee the Warehouse Management System (WMS) and other related software applications.
  • Ensure the accurate configuration and maintenance of the WMS, including updates and system integrations.
  • Train staff on system usage and best practices to maximize efficiency.

4/Inventory Control:

  • Develop and enforce inventory control procedures to maintain accurate stock levels.
  • Monitor inventory accuracy through cycle counts and audits, addressing discrepancies promptly.

5.Team Leadership:

  • Lead, mentor, and develop warehouse staff, fostering a culture of safety, accountability, and continuous improvement.
  • Conduct performance evaluations and provide ongoing feedback to team members.
  • Coordinate training programs to enhance employee skills and knowledge.

6.Safety and Compliance:

  • Ensure compliance with OSHA and other relevant safety regulations.
  • Develop and implement safety protocols to minimize accidents and injuries in the warehouse.
  • Conduct regular safety audits and training sessions.

7.Data Analysis and Reporting:

  • Utilize data analytics to monitor key performance indicators (KPIs) related to warehouse operations.
  • Prepare and present reports to senior management on operational performance, process improvements, and system issues.
  • Identify trends and recommend actions based on data analysis.

8.Collaboration and Communication:

  • Work closely with other departments, such as logistics, sales, and customer service, to ensure seamless operations.
  • Facilitate effective communication between warehouse staff and management.
  • Address any operational issues promptly and efficiently.

Job Requirement

Education:
Bachelor’s degree in Supply Chain Management, Business Administration, Logistics, or any engineering field. A Master’s degree is a plus.
Experience:
Minimum of 5 years of experience in warehouse management or logistics
Proven experience in process improvement and system implementation and warehouse automation.
Technical Skills:
Proficiency in Warehouse Management Systems (WMS) and Enterprise Resource Planning (ERP) software.
Strong analytical skills with the ability to interpret data and make informed decisions.
Familiarity with inventory management principles and best practices
Familiarity with available technology and automation products for use in the warehousing process
Familiarity with Six sigma is a plus

Strong communication and interpersonal skills.
Problem-solving mindset with a focus on continuous improvement.
Work Environment:
The Warehouse Process and System Manager typically works in a warehouse setting, with exposure to various weather conditions and noise levels. The role may require extended hours during peak seasons or special projects and movement between warehouses of different locations.
