JOB SUMMARY
Coordinate with operation team and other departments (FA team, forwarder management team) in checking statement of account (SOA) from logistics vendors to ensure accuracy payment amount, sufficient payment documents and strictly follow SOA timeline.
Check the accuracy and reasonableness of the abnormal/ad-hoc expenses incurred.
Provide cost estimation for export shipments as per operation’s request.
Handle weekly Dem/Det/abnormal/ad-hoc expense report, KPI report, other report assigned by superior.
Monthly joining meeting with logistics vendors do discuss operations & reporting issue.
KEY RESPONSIBILITIES AND AUTHORITIES
• Monthly collect SOA from logistics vendors, use SOA checking format to cross check data & main cost in SOA with operation’s report & approved quotation. Cross checking evidence provided by logistics vendors with internal report (ORC, Vnaccs) to verify the dem/det/abnormal cost.
• Prepare document and submit payments request follow correct approval levels
• Effective communication with the concerned parties to ensure all the mismatching or concerns are closed timely, ensure SOA are handled on time.
• Provide cost estimation for export shipments base on approved quotation as per operation’s request in systems (courier shipments), or by email (special cases)
• Take responsibility for managing expense report & KPI report, manage vendors’ performance & follow up improvement through monthly meeting.
• Report to supervisor if any deviation from the established SOP.
• Perform other duties as assigned by supervisor.
Education
University graduated
Experience
2-3 years in Manufacturing company (EPE is preferred)
Knowledge
Computer knowledge (excel, word, PowerPoint, ERP), ERP knowledge & good excel is required.
Good in English communication (writing & speaking).
Data analysis skill (Power BI/ Power Query) is preferred.
Functional Skills
Skilled in order processing, shipment arrangement & shipping expense controlling.
Having knowledge of project management is preferred.
Able to use VNACCS software.
Other Abilities
Able to work independently and under a tight time schedule.
Good team working spirit.
Good communication skill.
This position will be based in SHTP Factory, District 9, HCMC. Shuttle bus from District 1, 7,10,12/Go Vap/Thu Duc/Binh Thanh/Binh Duong/ Dong Nai is available.
